BPM Gap Analysis
The IT department were looking to rollout an incumbent EDM system to all departments. However there was only one way to view the documents in the system and that meant the other departments would struggle to access and use information in the specialist way necessary for some of their work. Each department had it's own legacy filing system that had evolved over decades of working practice that held inherent difficulties for the modern electronic world.
An As-Is study was performed in each of the departments to understand the workflow and tasks. This was documented and Process Maps produced. The existing procedures were then reviewed and the Gap Analysis performed. The good news was many of the procedures were fine.
However, the study did show the most obvious cost to the business was the reproduction of information several times in paper form to pass information through the departments. This helped the business case to show changing the largely manual paper processes could provide significant savings in processing time and printing/duplicating costs.
